Children ages 12 and under must be accompanied and supervised by a parent or guardian at all times.
CYPHACON prides itself on being a family-friendly event, suitable for children as well as adults. Overt or graphic sexual imagery or display, whether personally considered by you to be an integral part of a character/costume or not, will not be tolerated and will result in your PERMANENT expulsion from all present and future CYPHACON events, as well as possible detainment and arrest by on-site law enforcement.
Offsite food and drink brought into the convention ARE allowed into the venue. No off-site liquor allowed, on site liquor will be available for purchase.
No boomboxes, portable Karaoke, or portable speaker systems will be allowed to be used in the Lake Charles Event Center. Exceptions can be made for panels and must be approved by CYPHACON Staff.
Membership badges must be worn in front, whether clipped onto clothing/costumes or on a lanyard, to be always easily visible. Attendees must be prepared to present this badge for closer inspection upon request of any convention security and/or on-site law enforcement personnel. Hiding of badges within or under clothing/costumes could result in an attendee’s temporary detainment; repeated violations could result in an attendee’s expulsion from the event. This also includes wristbands for our Mini events.
No unsanctioned ‘horseplay’ is allowed. All fighting demonstrations are strictly scheduled and regulated.
No drugs intended for recreational use or abuse, and/or tobacco products including vaping allowed on site. Prescription drugs carried on-site must be in their proper prescription containers for easy identification by on-site law enforcement, should questions arise.
Personal Hygiene: The health and safety of our attendees are important to us especially with today’s current issues. Any attendee that causes disruptions with bodily odor considered unkempt or reported to a staff member might be asked to leave the premises and return when resolved. Attendees are recommended to always come to our event each day with a minimum standard of health and personal hygiene. Please always wash your hands for at least 30 seconds throughout the day especially before eating and using the restrooms to help stop the spread of germs and illness. Do not touch your face, mouth, or eyes without properly washing your hands. If you cough or sneeze, please do so into your elbow and out of the direction of your fellow attendees.
Physical and/or verbal abuse and/or assault of fellow con attendees will be dealt with in the strictest manner allowed by human decency, circumstance, and law. You are urged to review our anti-harassment policy below. CYPHACON personnel have the authority to have you removed from the convention, sans refund if your behavior violates the above. On-site law enforcement personnel have the authority to detain and/or arrest anyone committing such violations of our policies.
Photography and Videography are always welcome at CYPHACON. Just like with Cosplay is not consent, please ask the person or persons in individual settings about taking their photo or video of them. You are allowed to take Photos in Panels or Concerts as long as it is not said on the door leading into the room or requested not to be by our guests or panelist. NO FLASH PHOTOGRAPHY is allowed in the Rosa Hart Theater unless you are a member of Media or Staff Photographer.
CYPHACON and the Lake Charles Event Center do not take responsibility for any items lost, stolen, or misplaced during the event. Check with Registration for lost items. Found items can be turned in to Registration or handed over to any CYPHACON staff member. Please check with registration before 5 PM on Sunday. All items collected will be disposed of after the event is over.
Guests, Events, and Schedules are subject to change with little or no prior notice. Those changes that occur before the event will be posted as quickly as possible on our website and social media pages. Changes during the event will be noted, when and where possible, on that days’ schedules, posted at Registration and panel rooms around the convention. CYPHACON neither implies nor accepts any responsibility for inconvenience or monetary loss due to such changes, or our failure to note the same. ALL TICKET SALES ARE FINAL, NO REFUNDS WILL BE OFFERED. TRANSFER OF TICKETS IS ALLOWED.
While attending CYPHACON, you could have video or pictures taken of you by CYPHACON personnel, their representatives, and/or the media, as well as other con attendees. As a stipulation of your CYPHACON membership, you agree to waive any & all claims of compensation for the fair use of such images at the discretion of CYPHACON, CyPhaKids, and our parent company CYPHA LLC, for advertising and promotion, in any broadcast, web, social, and/or print media.
No on-site solicitations will be allowed without approval from CYPHACON staff before the event. This includes the Lake Charles Civic Center grounds outside, for example posting flyers on vehicles. CYPHACON Reserves the right to act with local law enforcement to deter or stop such actions during the event.
COSPLAY is NOT consent! CYPHACON has a strict “Hands-Off” Policy! Please keep your hands and feet to yourself and do not touch any person or cosplay without their permission. Harassment can ruin any situation; unwelcome hugging, glomping, groping, or touching will not be tolerated. All violations will be addressed by convention security and all violators are subject to revocation of their badge for the rest of the weekend. If you feel harassed in any way or witness harassment, please report the incident with the person’s name or description to security. Harassment is not limited to physical contact. It includes, but is not limited to verbal abuse, physical harassment, or stalking. Please be respectful to all attendees, staff, venue personnel, and venue guests. Refusal to cooperate with convention security of staff may result in revocation of convention access or badge for the entire weekend. Likewise, any person who makes repeated false accusations of harassment against other attendees or photographers may be asked to leave or face revocation of their badge for the entire weekend.
VIOLATING POLICIES: If the Security staff and LCPD are called on-site to deal with a situation CYPHACON staff will intervene to decide what course of action will be taken. This is done by a committee of 3 board members at the event. All cases will be discussed, resolved, and dealt with in a secluded area away from convention attendees. Per our guidelines our staff will examine each issue on a case-by-case basis to decide their course of action which can include the following.
1: A simple Warning to curtail any further issues,
2: Removal of your badge for violating the warning and not able to return to the current event,
3: Permanent ban from future events depending on the violation(s). This clause also includes violations with our weapons policy located HERE.
(CYPHACON has the right to ban any person from our event for life when a direct threat of bodily harm is directed towards any attendee, staff or volunteer on site or on any of our official social media pages. These bans include not only live in person events but being denied access to all our social media platforms and forums online as well.)
These rules are subject to change prior to, and during the event. We recommend that you monitor our social media and daily event postings for updates.
CYPHA LLC, CYPHACON, CYPHACON STAFF, CYPHACON VOLUNTEERS, CYPHACON TEAM MEMBERS, LAKE CHARLES EVENT CENTER, CITY OF LAKE CHARLES, CITY OF LAKE CHARLES EMPLOYEES, ASM GLOBAL or LAKE CHARLES POLICE DEPARTMENT (LCPD), will not be held responsible or liable for misconduct, damages, injuries, illness, or deaths resulting from the actions of any CYPHACON attendee or any other persons during the event. Any inappropriate behavior or misconduct by any attendee will not be tolerated by CYPHA LLC or local authorities. If at any time an attendee does not follow the Lake Charles Police Department, CYPHA LLC and or staff members with direction from the LCPD has the right to remove you from the building and deny entrance without refund for violating this and or other policies laid out by CYPHA LLC and CYPHACON and our convention policies.
CYPHACON Anti – Harassment Policy – Revision 2.0 March 2023:
CYPHACON provides a harassment-free convention experience for everyone (regardless of gender, gender identity, and expression, sexual orientation, disability, physical appearance, body size, race, or religion). We do not tolerate harassment of convention participants, staff members, or volunteers in any form. This policy includes all online spaces that are officially run by CYPHACON through various social media platforms.
Harassment includes offensive verbal comments [related to gender, gender identity, and expression, sexual orientation, disability, physical appearance, body size, race, religion, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention. Participants asked to stop any harassing behavior are expected to comply at once.
If a participant engages in harassing behavior, CYPHACON may take any action they consider appropriate, including warning the offender or expulsion from the convention [with no refund]. If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a member of the CYPHACON staff at once.
